Streamlining Agency Chaos into Scalable Growth

Company: The Marketing Blender
CEO: Dacia Coffey
Industry: B2B Marketing Agency
Team Size: ~10 internal + 30 active clients

The Challenge:
The Marketing Blender was a successful B2B agency with powerful creative talent and strong client relationships—but behind the scenes, operations were straining to keep up with growth. The internal project management structure was loose, cross-functional communication lacked rhythm, and leadership needed tighter coordination across initiatives.

My Role:
I initially came on as a strategic executive assistant to the CEO, supporting her with high-level marketing support, inbox triage, and collaborative thinking on operations and team dynamics. Over time, I grew into a project management and operations leadership role, taking ownership of client-side execution systems, team workflows, and software optimization.

Key Contributions:

  • Executive Operations Support:
Helped the CEO perform at her best through structured thinking sessions, task filtration, email and calendar management, and system optimization suggestions that improved her focus and bandwidth.

  • Cross-Team Collaboration:
Worked directly with ~5 CMOs and ~5 creatives to align execution across 30+ clients. Managed resourcing, timelines, and initiative prioritization across dozens of concurrent campaigns.

  • Project Management Infrastructure Overhaul:

    • Identified inefficiencies in Basecamp and led the company-wide migration to Teamwork.

    • Created clear processes, SOPs, and communication flows that aligned account teams and reduced operational waste.

    • Developed dashboards and reporting structures to spotlight where projects were stalling or leaking margin.

  • Operational Leadership:
Became a bridge between sales, strategy, creative, and client service—ensuring every piece of the delivery puzzle fit together. Focused on executional clarity, not micromanagement.

The Result:
While I was one piece of a strong team, my work laid critical infrastructure that supported fast, healthy growth:

  • Scaled from $1.2M to $1.8M in 15 months

  • Improved team workflow visibility and accountability

  • Enabled the CEO to step out of the day-to-day with confidence

  • Reduced inefficiencies across client deliverables and internal ops
